Share an Asset

Sharing grants access to users and groups who aren’t the asset’s owner. This guide shows you how to share an asset with a group or individual user.

Before you start

Share an asset with a group or user

When sharing with a group, each user’s effective access depends on their governance role within that group. See Sharing with groups vs. sharing with users.

Users are notified when an asset is shared with them or their access level changes.

To share an asset:

  1. Open the asset you want to share.

  2. Select the Share icon.

  3. Search for and select the groups or users you want to share with.

  4. For each group or user, select an access level (for example, View metadata, Editing, Full access).

  5. Select Done. The selected groups and users can now access the asset.

Share multiple assets

When sharing in bulk, existing access is by default overwritten.

  1. Go to a listing screen (for example, Data quality > Rules).

  2. Select the assets you want to share.

  3. Select Share in the ribbon that appears.

  4. Search for and select the groups or users you want to share with.

  5. For each group or user, select an access level.

  6. (Optional) To keep existing access levels, select Advanced settings and choose Don’t change the existing access level.

  7. Select Done.

If you select a single asset from the listing, you can use this as a shortcut for replacing existing access.

Remove access

Users are not notified when their access is removed.

From a single asset

  1. Open the asset and select the Share icon.

  2. Find the group or user and in the access level dropdown, select Remove access.

  3. Select Done.

From multiple assets

  1. Go to a listing screen (for example, Data quality > Rules).

  2. Select the assets you want to update.

  3. Select Share in the ribbon that appears.

  4. Search for and select the group or user whose access you want to remove.

  5. In the access level dropdown, select Remove access.

  6. Select Done.
